This policy explains what personal information Softongroup collects through softongroup.com, why we collect it, where it is stored and what you can do about it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

We collect personal information in two ways on this website.

Information you give us

When you submit the enquiry form, we collect your name, email address, company or website (if you provide it), the service you selected, and whatever you write in the project details field. We also record your IP address and the time of submission, to help us identify automated abuse of the form.

Please do not submit confidential or sensitive information through the form. Send a short description and we will agree a secure channel before you share anything substantive.

Information collected automatically

Our web server keeps standard access logs, which include IP addresses, pages requested, timestamps and browser user-agent strings. These are generated by the hosting platform and used for security and troubleshooting.

What we do not do

This site runs no analytics, no advertising pixels and no tracking scripts. We do not build visitor profiles, we do not sell or rent personal information, and we do not use your information for automated decision-making.

Cookies

Our own code sets no cookies. Our hosting provider sets a single strictly necessary cookie as part of its bot-protection system, which confirms that a request came from a real browser. It holds no personal information and is not used for tracking. Because we set no analytics or marketing cookies, this site has no cookie consent banner.

Third parties

Google Fonts: Typefaces are loaded from Google’s font servers. This means Google receives your IP address and basic request information when a page loads. Google’s handling of that data is governed by its own privacy policy.
Our hosting provider: The site and its mail are hosted on shared infrastructure operated by our hosting provider, which processes data on our behalf.

Enquiries submitted through this website are emailed directly to us. They are not sent to any third-party form service, CRM or marketing platform.

Where your information is stored

Our web and mail servers are located in the United States (Salt Lake City, Utah). This means that information you submit through this website — including your name, email address and the content of your enquiry — is stored on servers outside Australia, and the email containing your enquiry is held in a mailbox on that same infrastructure.

Loading Google Fonts may also involve servers outside Australia. By submitting the enquiry form you consent to this overseas storage and disclosure. If you would prefer your information not to be handled this way, contact us by telephone instead.

How we use your information

To respond to your enquiry and arrange a discovery call.
To provide services you engage us for, and to communicate with you about them.
To protect this website against spam and automated abuse.
To meet our legal and record-keeping obligations.

We do not send marketing email to people who have only submitted an enquiry. If we introduce a newsletter, it will be opt-in and separately consented to.

Security

The website is served over HTTPS with HSTS enabled. Enquiry submissions are validated and rate-limited, and the form is protected against header injection. Access to our mail and hosting accounts is restricted to authorised personnel.

No method of transmission or storage is completely secure. We take reasonable steps to protect personal information, but we cannot guarantee absolute security.

How long we keep it

Enquiry emails are retained for 24 months, after which they are deleted unless you have become a client, in which case records are kept for as long as needed to provide services and to meet our legal and tax obligations. Abuse-prevention records derived from IP addresses are held in hashed form and expire within one hour.

Your rights

You may ask us to:

give you access to the personal information we hold about you;
correct information that is inaccurate, out of date or incomplete;
delete information we no longer need to keep.

Email info@softongroup.com and we will respond within a reasonable period. If you are not satisfied with how we have handled your personal information, you can complain to us first, and then to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy as our services or systems change. The date at the top of this page shows when it was last revised.
